Purpose

This curation policy establishes guidelines for managing, preserving, and sharing data generated during the ETH-TECH project. It aims to ensure that data are accessible, reusable, and compliant with FAIR (Findable, Accessible, Interoperable, Reusable) principles, while protecting sensitive information and adhering to ethical and legal standards.

Scope

This policy applies to all data collected, processed, and produced during the Erasmus+ project on the ethics of educational technology. This includes:

  • Syllabi and curricular materials
  • Open Educational Resources
  • Public Documents
  • Quantitative and qualitative analysis results
  • Codebooks, scripts, and computational tools
  • Reports, metadata, and other supporting documentation

Roles and Responsibilities

  1. Data Contributors:

    • Ensure data are accurate, complete, and free from copyright or licensing restrictions before submission.
    • Provide necessary metadata to describe and contextualize the data.
  2. Data Curators:

    • Review submitted datasets for quality, compliance, and completeness.
    • Ensure metadata and documentation adhere to repository standards.
    • Provide support for data contributors regarding formatting, anonymization, and licensing.
  3. Repository Administrators:

    • Oversee long-term preservation and maintenance of the repository.
    • Implement access controls and safeguard sensitive information.
    • Monitor compliance with this policy.

Data Selection and Inclusion Criteria

Data will be accepted into the repository if they meet the following criteria:

  • Relevance: Data must be directly related to the ETH-TECH project goals and objectives.
  • Format: Data must be submitted in open, non-proprietary formats (e.g., CSV, JSON, TXT, or PDF for text files).
  • Ethics: Data must be anonymized to protect personal information, and contributors must confirm ethical compliance during collection and processing.
  • Documentation: Sufficient metadata must be provided to ensure the data's usability and reproducibility.
  • Licensing: All data must be licensed under an open license (e.g., Creative Commons BY 4.0) unless restrictions apply.

Metadata Standards

To ensure data are discoverable and interpretable, metadata must include:

  • Title: Clear and descriptive title of the dataset.
  • Creators: Names, affiliations, and ORCID IDs of contributors.
  • Date: Date of data collection or creation.
  • Description: Summary of the dataset, including purpose and methodology.
  • Keywords: Relevant terms (e.g., ethics, data ethics, transparency, constructive alignment).
  • Format: File formats used in the dataset.
  • Licensing: Open license applied to the dataset.

Access and Use

  • Public Access: All data, unless restricted, will be made publicly accessible to maximize impact and reuse.
  • Sensitive Data: Data containing sensitive information will be anonymized before publication, and access may be restricted where necessary.
  • Reuse Guidelines: Users are required to attribute the data in line with the chosen license.

Preservation and Maintenance

  • Retention: Data will be preserved for at least 5 years after the project concludes.
  • Formats: Data will be stored in open, long-term formats to ensure accessibility over time.
  • Updates: Curators will ensure that metadata and file formats are updated as standards evolve.

Ethical and Legal Considerations

  • Compliance with GDPR and other relevant regulations will be ensured.
  • Data collection must have the informed consent of participants where applicable.
  • Any third-party content used in the repository must have explicit permissions or be public domain material.

Version Control

  • Each dataset version will be archived with clear versioning to track updates or corrections.
  • Major changes to datasets will be documented and communicated to users.

Monitoring and Review

This policy will be reviewed annually to ensure alignment with best practices and project requirements. Stakeholder feedback will be incorporated into revisions.
