D8.2 – Quality Assurance & Risk Management Plan

This deliverable presents the Quality Assurance and Risk Assessment Plan for the ARXIVE Horizon Europe project. It defines the methodology, processes, and responsibilities for ensuring consistent quality management and proactive risk mitigation across all project activities.

The framework is structured around three core components: quality planning, quality assurance, and quality control. Quality planning establishes project-wide standards, including policies for meetings, deliverables, publications, and shared templates. Quality assurance ensures that these standards are applied through structured reporting, defined responsibilities, and internal review procedures. Quality control focuses on continuous feedback loops, including internal reviews and input from the Advisory Board, to ensure corrective actions are effectively implemented.

Risk management is embedded throughout the project lifecycle and is based on continuous identification, assessment, and mitigation of risks. This includes the development of contingency measures to address potential deviations in implementation.
The plan is operationalised through the project governance structure, involving the Project Management Board (PMB), Work Package Leaders (WPLs), Scientific and Technical Lead (STL), and the Coordinator. It is designed to support collaboration, traceability, and timely decision-making across all Work Packages, ensuring alignment with Horizon Europe requirements for transparency, accountability, and audit readiness.

A key feature of this framework is its adaptive and iterative nature. The procedures and risk controls will be continuously refined throughout the project based on internal reviews, monitoring outcomes, and lessons learned. This ensures that the quality and risk management approach remains flexible and responsive to project evolution and emerging challenges.
This deliverable should be used in conjunction with D8.1 Project Management Plan and related consortium agreements. It provides a shared operational reference for all partners, ensuring consistency in implementation while supporting both strategic oversight and day-to-day project execution.
